By submitting an Enrolment Application, you indicate your acceptance of these terms.

Duration
These terms and conditions remain applicable until the student completes their educational journey with Gaia Learning, is voluntarily removed by the respective local authority/school group, or is excluded by Gaia Learning.

Educational Authority
Local authorities/school groups empower the Head of School within Gaia Learning to take daily decisions that are in the student’s best interest.

Educational Provisions
Gaia Learning, as an unregistered alternative provision, promises to make every effort to provide a conducive learning environment. It does not guarantee specific examination results or subsequent placement in other educational institutions.

Responsibility of Local Authorities/School Groups
Local authorities or school groups should:

Inform their superiors about their participation in Gaia Learning and conduct their own due diligence to meet their expectations and obligations.
Monitor students’ progress through the Gaia Learning platform, ensuring assignments and assessments are completed.
Provide necessary educational materials as specified by Gaia Learning.
Ensure students have an appropriate study environment and internet connectivity.
Communicate any significant changes in a student's life that might affect their learning.
Ensure that students attend lessons regularly.
Age Requirements
Gaia Learning does not accept students above 18 in group classes unless it’s an adult-specific program. Refer to our Safeguarding Policy for more details.

Admissions and Enrolment
Local authorities or school groups must pay a non-refundable enrolment fee. If the required tuition fee is not paid within the deadline, the application may be cancelled.

Scheduling
All one-on-one sessions can be rescheduled with 24-hour notice but must be reconvened within a month.

Fee Structure
Fees can be settled monthly, termly, or yearly. Gaia Learning reserves the right to revise the fees with 14 days notice. Details of refunds and payment options are available in our Grievances Policy.

Notification Period
If intending to exit the programme, authorities or school groups need to submit a notice that aligns with the contract of the agreed payment schedule.

Confidentiality and Privacy
Gaia Learning prioritizes student privacy. Recorded lessons may include students if they use certain virtual classroom features. Consent is necessary for these recordings, which will not be shared externally. Changes in permissions should be communicated in writing.

Digital Safety
Local authorities and school groups must ensure that students access only recommended online content and maintain internet safety. Refer to our Digital Safety Policy for more details.

Access Credentials
Gaia Learning platform credentials should remain confidential and are strictly for student use.

Data Protection
We process personal data as described above, which may include sensitive data concerning the student's health, religion, and ethnicity. We comply with GDPR and other relevant data protection laws.

Behavioural Standards
All parties should adhere to Gaia Learning's Behaviour Policy. Misconduct may result in exclusion.

Academic Integrity
Submitted work must be original. Academic misconduct can lead to penalties, including exclusion.

Lesson Adjustments
If lessons are cancelled by Gaia Learning due to reasons such as technical difficulties or staff unavailability, suitable provisions will be made, but no refunds will be given.

Modifying Enrolment
Subjects can be added or switched upon discussion with our team.

Withdrawal Rights
EU residents can retract their enrolment within 14 days of application. A proportionate service fee will be deducted from the refund, and the enrolment fee is non-refundable.

Dispute Resolution
In the event of a dispute, parties agree to resolve conflicts through mediation or arbitration before seeking other legal remedies.

Regular Review
Gaia Learning will regularly review and update these terms and conditions to ensure compliance with legal and regulatory changes. Notification of significant changes will be provided to local authorities or school groups.
